Cancellation & Refund Policy
At Kashmir Tours & Travels, we understand that travel plans can change. This Cancellation & Refund Policy explains the general process applicable to cancellations, refunds and changes to tour bookings.
1. Cancellation Request
All cancellation requests should be submitted to Kashmir Tours & Travels in writing through email or another communication channel accepted by us.
The date and time on which the cancellation request is received will be considered when determining applicable cancellation charges.
A cancellation request made verbally may not be treated as confirmed until it is received and acknowledged in writing.
2. General Cancellation Guidelines
Unless different cancellation terms are specifically stated in your booking confirmation, the following general cancellation structure may apply:
| Cancellation timing | General cancellation charge |
|---|---|
| More than 30 days before travel | Up to 10% of the booking amount |
| 15–30 days before travel | Up to 25% |
| 7–14 days before travel | Up to 50% |
| Less than 7 days before travel | Up to 75% |
| No-show / cancellation on or after the travel date | Generally non-refundable |
These are general cancellation guidelines rather than guaranteed refund percentages. Actual deductions may be higher or lower depending on hotel, transportation, activity and other supplier cancellation policies.
The applicable amount will be communicated based on the actual booking.
3. Non-Refundable Services
Certain services may be non-refundable once booked or paid for, including but not limited to:
- Non-refundable hotel reservations
- Special hotel rates
- Advance-purchase services
- Transportation reservations
- Activity or attraction tickets
- Seasonal or promotional bookings
- Supplier-specific non-refundable arrangements
Where a service is non-refundable, the corresponding amount may be deducted from any refund due.
4. Hotel Cancellation
Hotel cancellation charges depend on the hotel’s cancellation policy and the rate booked.
If a hotel has a stricter cancellation policy than the general policy above, the hotel’s actual applicable charge may be deducted.
5. Transportation Cancellation
Transportation arrangements may be subject to cancellation charges depending on the vehicle provider, booking date and cancellation timing.
Any applicable supplier charge will be deducted from the refundable amount.
6. Cancellation by the Customer
If you cancel your complete tour, we will calculate the refundable amount after considering:
- Applicable cancellation period
- Hotel cancellation charges
- Transportation cancellation charges
- Activity cancellation charges
- Payment gateway or transaction charges, where applicable
- Other non-refundable supplier charges
The remaining eligible amount, if any, will be processed according to the applicable refund procedure.
7. Date Changes and Rescheduling
Customers may request a change of travel dates instead of cancellation.
Date changes are subject to hotel, vehicle and other supplier availability.
A rescheduling request may result in:
- Price differences
- Hotel rate differences
- Supplier amendment charges
- Seasonal price changes
- Cancellation charges
We will communicate applicable additional costs before confirming the revised arrangements.
8. Partial Cancellation
If only part of a booking is cancelled, the refund will be calculated based on the cancellation conditions applicable to the specific cancelled services.
Some components may remain non-refundable even if other components qualify for a refund.
9. No-Show
If a customer does not arrive for the booked service without prior notice, the booking may be treated as a no-show.
No-show bookings are generally non-refundable, subject to the policies of the relevant suppliers.
10. Cancellation Due to Weather or Road Conditions
Kashmir and Ladakh are mountain destinations and may experience weather-related disruptions.
If a sightseeing activity, route or transportation service cannot operate because of weather, snowfall, road closure, government restrictions or safety conditions, we will make reasonable efforts to assist with an alternative arrangement.
A refund is not automatically guaranteed where a service becomes unavailable due to circumstances outside our control. Supplier-specific refund rules may apply.
11. Force Majeure
In circumstances beyond our reasonable control, including natural disasters, severe weather, landslides, road closures, government restrictions, strikes, civil disturbances, security restrictions or other major disruptions, cancellation and refund arrangements will depend on the recoverable amount received from the relevant service providers.
We will make reasonable efforts to help customers obtain eligible refunds or alternative arrangements.
12. Refund Processing
Once the refundable amount has been finalized, refunds will generally be processed through the applicable payment method or another mutually agreed method.
Processing time may depend on banks, payment gateways and third-party suppliers.
Any applicable transaction or payment processing charges may be deducted where permitted.
13. Booking Confirmation Prevails
Because different hotels, transport providers and activities have different cancellation rules, your booking confirmation and supplier-specific cancellation conditions should always be checked before cancelling.
Where the confirmed booking contains specific cancellation terms that differ from this general policy, the confirmed booking terms will apply to that booking.
